QuickRuit AI is committed to being transparent about how your data is collected, used, and protected. This policy applies to all users — candidates and employers alike.
Introduction
Welcome to QuickRuit AI ("QuickRuit," "we," "our," or "us"). We operate an AI-powered recruitment and interview platform that connects employers with candidates through intelligent screening, asynchronous video interviews, and automated candidate evaluation tools.
This Privacy Policy explains what personal data we collect, why we collect it, how it is used, who we share it with, and what rights you have over your data. It applies to our web application at quickruit.in, our mobile experiences, and any related services we provide.
By creating an account or using QuickRuit, you acknowledge that you have read and understood this Policy. If you are a candidate invited to interview by an employer, this policy also applies to your experience.
Legal Basis (GDPR)
We process your data under the following legal bases: (a) Performance of a contract — to provide the services you or your employer signed up for; (b) Legitimate interests — to improve our platform and prevent fraud; (c) Consent — for recording, proctoring, and any optional processing; (d) Legal obligation — to comply with applicable laws.
Who This Policy Applies To
QuickRuit serves two distinct groups of users, each with different data relationships:
Candidates
Individuals who create profiles, upload resumes, participate in AI-driven interviews, and apply for roles posted on QuickRuit. You may be using QuickRuit via a direct link shared by a prospective employer.
Employers & Recruiters
Organizations or individuals who sign up to post jobs, evaluate candidate responses, and use our AI hiring tools. Employer accounts undergo manual admin verification before activation.
In GDPR terminology, QuickRuit acts as a Data Controller for account data and platform operations. For employer-specific candidate data processed on behalf of an employer, QuickRuit may also act as a Data Processor.
Information We Collect
We collect information that you voluntarily provide to us when you register on the Services, express an interest in obtaining information about us or our products and Services, when you participate in activities on the Services, or otherwise when you contact us. The personal information we collect includes:

As is common with most online platforms, we automatically collect certain information about your device and session when you navigate our site. This information does not reveal your specific identity (like your name or contact information) but may include device and usage information, such as:
3.3 Interview Integrity Data (Proctoring)
Proctoring Notice
During AI video interviews, our Proctoring Engine may collect: tab-switch events, full-screen exit events, face-presence detection signals, and camera activity timestamps. This data is used exclusively to generate a Trust Score for the employer and is not shared externally. You will be explicitly notified and asked to consent before any proctored session begins.
3.4 AI-Processed Data
Resumes and interview responses are processed by AI models (Gemini 2.0 and OpenAI) to extract skills, generate match scores, and produce interview feedback. The AI-derived outputs (scores, summaries, tags) are stored in your candidate profile and shared with the relevant employer.
3.5 Data We Do NOT Collect
We do not collect payment card information (we do not handle payments directly). We do not perform biometric identification or store facial recognition templates. We do not access private GitHub repositories or protected code without your explicit authorization. We do not knowingly collect data from users under 16.
How We Use Your Data
We use the data we collect for various purposes focused on facilitating the recruitment lifecycle and maintaining the reliability of our AI-driven assessments:
For Candidates
We use your profile data and interview recordings to match you with relevant role opportunities, parse your resume for employer searchability, conduct and evaluate AI video interviews, and generate performance scores. We also use your information to provide you with interview feedback and keep you updated on your application status.
For Employers
We use your data to facilitate job postings, manage candidate pipelines, and provide access to AI-driven match scores and interview evaluations. We enable secure collaboration between your team members, session scheduling via Google Calendar, and real-time tracking of hiring drives.
Platform Operations (Both User Types)
We also use your data to: authenticate your identity and manage sessions; send transactional and notification emails (powered by Brevo); improve and train our AI matching and evaluation models using anonymized, aggregated data; detect and prevent fraud, spam, and abuse; maintain platform security and monitor performance.
Important: AI Model Training
We may use anonymized and aggregated data to improve our AI systems. We will never use your personally identifiable interview recordings, resume, or name to train external AI models (such as OpenAI's) without your explicit, separate consent. Data sent to OpenAI or Gemini APIs is processed under their data processing agreements and is not used to train their base models by default.

QuickRuit uses artificial intelligence throughout the hiring lifecycle. We believe in being transparent about exactly how AI affects decisions that matter to you.
Our platform leverages artificial intelligence to streamline various stages of the recruitment process, from initial screening to post-interview evaluation. The specific AI-driven functions active on our platform include:
Human-in-the-Loop Policy
We maintain a strict "Human-in-the-Loop" policy for all significant hiring decisions. No fully automated decision that results in a final hiring outcome is made by our AI systems in isolation. AI-generated scores and rankings serve as decision support tools for human recruiters and employers, who retain sole authority over final hiring choices. In accordance with GDPR Article 22, you have the right to request human intervention or review of any automated assessment that significantly affects your candidacy.
AI Bias, Fairness & Accountability
We are committed to building fair and unbiased AI. Our models are designed to evaluate candidates based strictly on professional credentials, skills, and interview performance. Our ATS engine is configured to exclude demographic signals such as name, gender, or location from its scoring algorithms. We conduct periodic audits of our AI outputs to detect and mitigate potential bias. If you believe an AI evaluation was influenced by unfair bias, you may contact our privacy team to request a manual review of your assessment.
Video, Audio & Proctoring
As video interviews are central to the QuickRuit experience, we maintain high standards for how media and proctoring data are handled.
Authorized Camera & Microphone Access
We only request access to your device's camera and microphone for the explicit purpose of recording your interview responses. We do not activate your media devices without a clear "Start Interview" action and a secondary browser permission prompt. You may deny these permissions at any time, though doing so will prevent the completion of video-based interview assignments.
Secure Media Storage & Distribution
Your interview recordings are encrypted and stored securely using our media infra (powered by Cloudinary). Access is strictly limited to the employer who issued the interview invitation and authorized QuickRuit support staff. Recordings are never set to "public" and are served via authenticated, time-limited CDN URLs to prevent unauthorized sharing.
AI Transcription & Behavioral Analysis
Our AI models transcribe your spoken responses into text to enable keyword searching, skill evaluation, and the generation of follow-up questions. This analysis is stored privately within your candidate report.
Zero Personal Biometrics Policy
We do not use your video feed to create biometric templates, perform facial recognition, or verify identity against government databases. Our proctoring engine uses basic presence detection (detecting if a person is in the frame) to ensure interview integrity, but it does not uniquely identify individuals based on facial geometry.
Proctoring & Integrity Data
When enabled by an employer, our "Trust Score" system monitors for signals that may indicate a breach of interview integrity, such as exiting full-screen mode, switching browser tabs, or the presence of multiple people in the camera feed. This data is aggregated into a numerical score and shared only with the hiring organization.
Developer Profile Integrations
Candidates may optionally provide their GitHub username or LeetCode handle to enrich their profile. Here is how we handle that data:
GitHub
We access only your public profile data via the GitHub public API — including public repository names, commit frequency, contribution graph, and star counts. We do not access private repositories, read code contents, or store your GitHub credentials. Access is read-only and based on the username you provide.
LeetCode
We display publicly visible problem-solving statistics (solve count, difficulty distribution, acceptance rate) available through LeetCode's public interface. We do not store your LeetCode password or authenticate on your behalf.
Providing your GitHub or LeetCode handle is entirely optional. These integrations are for supplementary profile enrichment only and do not affect your ATS match score unless explicitly configured by the employer.
Third-Party Services
We work with a small set of carefully selected third-party providers. Each provider processes your data only as necessary to deliver their specific function:
OpenAI
AI interview analysis, question generation, answer evaluation. Resume/transcript text is sent to OpenAI APIs under their Data Processing Agreement. Not used to train base models.
Google (Gemini)
Resume parsing and deep data extraction via Gemini 2.0. Also handles Google Calendar sync and Meet link generation for live interview rounds.
Brevo
Transactional email delivery — application confirmations, interview invites, status updates. Your name and email address are shared for email dispatch only.
Cloudinary
Secure cloud storage and CDN delivery of interview video recordings. Media is encrypted at rest and served via authenticated URLs only.
MongoDB Atlas
Primary database for candidate profiles, job listings, employer accounts, and platform metadata. Data is encrypted at rest and in transit.
All third-party providers are bound by Data Processing Agreements (DPAs) and are contractually prohibited from using your data for purposes beyond those described above. We do not sell, rent, or broker your data to any advertising networks or data brokers.

Types of Cookies We Use
Essential Cookies
Required for authentication, session management, and security token validation. These cannot be disabled without breaking core functionality.
Analytics Cookies
Used to understand how users navigate the platform (page views, feature usage patterns). Data is aggregated and not linked to individual identities.
What We Do Not Do
We do not use advertising cookies, retargeting pixels, or cross-site tracking scripts. We do not partner with any ad networks. QuickRuit products are free of third-party advertising.
You may manage cookie preferences through your browser settings. Disabling essential cookies will impair your ability to log in and use the platform.
Data Retention
We retain your personal data only for as long as necessary to fulfil the purposes described in this Policy or as required by applicable law.
Active Accounts
Data is retained for the lifetime of your account plus a 30-day grace period after a deletion request, to allow for error correction.
Video Recordings
Interview recordings are retained for 6–12 months from the date of the interview, or until the employer deletes them, whichever comes first.
Employment Records
In line with employment law requirements, application records may be retained in restricted archival for up to 2 years before permanent deletion.
Proctoring Logs
Integrity and proctoring logs are retained for 90 days after the interview, then permanently deleted unless an active dispute has been raised.
When your data is deleted, we ensure it is removed from all production systems and scheduled for purging from backup systems within 90 days.

Data Breach Response
In the event of a confirmed data breach that is likely to result in risk to your rights and freedoms, we are committed to notifying affected users without undue delay and reporting to the relevant supervisory authority within 72 hours, in line with GDPR Article 33. Notification will include the nature of the breach, categories of data affected, and steps we have taken to mitigate it.
While we take all reasonable precautions, no method of transmission over the internet is 100% secure. We continually review and enhance our security measures as new threats emerge.
Your Privacy Rights
Depending on your location, you have the following rights regarding your personal data. We honor these rights for all users globally, regardless of jurisdiction.

Request a copy of all personal data we hold about you.
Right to Rectify
Correct inaccurate or incomplete data in your profile.
Right to Erasure
Request deletion of your data where no legal obligation requires retention.
Right to Restrict
Pause processing of your data while a dispute is being resolved.
Right to Portability
Receive your data in a machine-readable format (JSON/CSV).
Right to Object
Object to processing based on legitimate interests, including profiling.
Human Review of AI
Request human review of any AI-generated score or assessment (GDPR Art. 22).
Withdraw Consent
Withdraw consent for recording or proctoring at any time before a session begins.

Children's Privacy
QuickRuit is a professional hiring platform intended for individuals who are 16 years of age or older. We do not knowingly collect personal data from anyone under the age of 18. If you are a parent or guardian and believe your child has provided us with personal data, please contact us immediately at hello@quickruit.in and we will delete the information promptly.
Campus hiring drives are available for verified university/college domains, and we rely on the institution's verification that enrolled candidates meet minimum age requirements.
Cross-Border Data Transfers
QuickRuit is operated from India and serves users globally. When your data is processed by third-party services such as OpenAI (USA) or Google Cloud (USA/EU), it may be transferred to and stored in countries outside your jurisdiction.
For users in the European Union or EEA: the United States does not currently have a full adequacy decision from the European Commission. Transfers to US-based providers (OpenAI, Google) are conducted under Standard Contractual Clauses (SCCs) or the provider's enterprise Data Processing Agreements. By using QuickRuit, you acknowledge this transfer mechanism.
For users in India, your data is processed in compliance with the Information Technology Act, 2000 and the Digital Personal Data Protection Act, 2023 (DPDPA) to the extent applicable.
Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our platform, legal requirements, or business practices. When we make material changes, we will:
